The Necc

Just because you have all the time in the world to post whether its a working day or a weekend doesnt mean everyone else is the same. If you have attended the last AGM, you would know that the protem committee will be in office for a 2 year term. So next AGM will be in 2007 August.

Annual means yearly. So does the club then have biennial general meetings then? Is this acceptable to the ROS? IMHO, although the protem committee has a two year tenure, it does not mean that the General Meeting cannot be held every year.

Annual general meeting

An Annual General Meeting (commonly abbreviated as AGM, also known as the annual meeting) is a meeting that official bodies, and associations involving the public (including companies with shareholders), are often required by law (or the constitution, charter etc. governing the body) to hold.
An AGM is generally held every year to inform their members of previous and future activities. In organizations run by volunteers or a paid committee, the AGM is generally the forum for the election of officers or representatives for the organization

ha ha.. ichiwan.. you are right.. AGM does means annual/yearly.

so from here henceforth, it shall be call GM.. General Meeting or Election Meeting (EM) or Election Day (ED).

and necc, yes it is 2 years term. (sigh..)

If I remember correctly, you were nominated for the President post during
the last election. Sadly, you turn down the nomination. (double sigh...)

Every club and society must hold a meeting every year, though some meetings may not have elections. Normally the annual meeting without elections will be to adopt accounts, confirm last year's AGM minutes and to discuss other club business.

Of course sometimes people mix up the term AGM and election and use them in the loosest way, me included

does the AD counts? It a meeting of the members. It held annually. Bonus is a dinner
comes with it.

Ichiwan

Thanks for the english lesson. What i meant was the election which is what The NECC was refering to btw. However it doesnt help to post such comment. Anyway small issue. I take it as trying to clarify things up & not being cynical.

Before ROS the club does not need to have an AGM. After the ROS then its a different ball game. Once ROS is done, The president may call for an Election, who knows eh? Glad to see so many member willing to support & be part of the next committee.

Jarance dude, I may be wrong but you should be guided by the club's constitution or articles of association or whatever. Not sure what they are called in the case of a club like this.

Such a document should exist coz ..... I'm guessing.... it would be a requirement for registration with ROS.... or rather, if I was the ROS, i would want to see this document which would outline how the club conducts itself.... its only logical.

Someone should look into this coz as there may (I stress .... may) be implications.....

Its very simple guys, once ROS is approved, the club will start a membership drive. Forum members whom wish to be a Club Member will be required to pay a one time time membership fees and yearly subcription fee after that. After that, the club will hold a "proper" AGM in accordance to the Constitution that was submitted to ROS.

As for when ROS is approved, its at the final hurdle before being approved and rumour that it has been held up because of someone's address in a foreign country has been proven to be UNTRUE. There is a photocopy of the ROS submission forms!

Cheers!

Some clubs do have AGM and AD together. For an AGM to be an AGM, a notice must be sent out within the stipulating the time period (usually 14 or 21 days in advance) setting out the agenda of the meeting together wif the accounts.

As Alvin pointed out, all these are only required after being officially registered as a club. Jipster, all clauses in the club regulation must get the approval of the ROS prior to the registration, so no worries that the proper rules on meetings are not in it!
